Getting started

Espada POS runs on your own server — there's a computer somewhere (a laptop, a small VPS, whatever you set it up on) that has to be switched on and running it. Nothing installs onto the phone or tablet at the till itself; they just open a web address in their browser, the same way they'd open any website.

Bookmark that address on every device you use at the counter, or use your browser's "Add to Home Screen" so it opens like an app icon.

Making a sale

Go to Sell. Tap products to add them to the cart on the right — tap again (or use the +/− steppers) to change quantity. Stock only updates once you charge, not while you're browsing the grid.

  • Attach a customer before charging if you want the sale on their record — tap "Add" in the cart panel to search or create one. Skip it for a walk-in.
  • Choose Cash or MoMo — Espada POS doesn't process payments, so this just records how the customer actually paid.
  • Tap Charge. If two people try to sell the last unit of something at the same moment, whichever charge lands first wins — the second gets told exactly what's left.
Adding products & photos

In Stock, tap "Add product" and fill in name, category, condition, price and quantity. "Low stock alert below" controls when a product starts showing amber/red.

Tap the camera square to add a photo — a phone photo works as-is, Espada POS shrinks it before uploading.

Customers (CRM)

Customers holds everyone you've added, with their full purchase history pulled automatically from past sales. Attach or create a customer right from the cart while making a sale — it's faster than entering them later.

Reports & date ranges

Use the presets, or tap Custom to pick any start and end date and hit Apply. Reports show revenue, sale count, best sellers, your cash-vs-MoMo split, and which products are low or out of stock.

Export downloads every sale in the selected date range as CSV, Excel, or PDF — tick which columns you want (receipt number, date, customer, payment method, sold by, items, items sold, total) before downloading.

Receipts — print, PDF, email & WhatsApp
  • Print — sends it to your browser's configured printer.
  • Download PDF — a formatted, shareable copy.
  • Email — if you've set up an email account for Espada POS in its configuration (see the deployment guide), this sends automatically. Otherwise it opens your own email app with the receipt ready to send.
  • WhatsApp — opens WhatsApp with the receipt text ready to send to the customer's number. Save numbers as 233241234567 or a standard local number like 0241234567 — Espada POS converts it.
Receipt template & shop settings

Settings holds your shop name, logo, address, phone/MoMo number, and receipt footer note, plus toggles for showing item condition and quantity on receipts. "Preview receipt" shows a sample before it goes out for real.

Accounts & security

Everyone who uses Espada POS signs in with their own username and password (set up under Settings → Staff accounts). Passwords are never stored in plain text. Sessions last 12 hours, then you'll need to sign in again.
